Core system
Keeps the postings, receipts, reports and closing processes. Selection and setup should fit your accounting firm and the legal requirements.
Good accounting software records transactions and receipts in a traceable way. In e-commerce that alone is not enough: shops, marketplaces, payment providers, returns, OSS data and variable costs have to come together completely and verifiably beforehand.
Accounting software supports the orderly recording, processing, evaluation and retention of data and receipts relevant to the books. It is not automatically a shop connector, a payment reconciliation and a profitability tool. A reliable e-commerce setup therefore separates the leading specialist system from the upstream systems and defines the handovers in between.
Keeps the postings, receipts, reports and closing processes. Selection and setup should fit your accounting firm and the legal requirements.
Normalises orders, payments, fees, refunds, tax details and references before data moves on to review or posting.
Allocates COGS, shipping, returns, ads and fees operationally. This layer complements accounting but does not replace it.
Have every vendor show the same real process. “We have an interface” only means something once the data path, scope, error visibility and professional responsibility are clear.
| Requirement | Leading accounting system | E-commerce upstream system | Test question |
|---|---|---|---|
| Receipts & postings | Traceable recording, retention, correction path and data access | Deliver orders, refunds and fees with unique references | Can a transaction be traced from the shop to the receipt? |
| Payments | Reconcile payment accounts, open items and postings | Bring together payouts, transactions, fees and refunds | Can a platform payout be broken down into its individual transactions? |
| VAT & OSS | Post tax cases correctly and keep them reportable | Provide delivery country, tax rate, refund and period per order | Do country and tax details stay traceable for returns? |
| DATEV & accounting firm | Take over or export checked posting data and receipts | Check account suggestions, references and data quality before handover | Which data is really transferred, and which is only exported as a file? |
| Profitability | Map the accounting result and closing data | Allocate COGS, shipping, returns, ads and fees per SKU or order | Can the operating contribution margin be derived from real costs? |
| Interface operations | Log imports and keep them professionally controllable | Detect outages, duplicates, time zones and retroactive changes | What happens on a partial fetch, an API outage or a repeated import? |
Start with the data path and the real month-end close, not with the number of features.
Clarify with your accounting firm which system keeps the books, receipts and closing data. An analytics or upstream system must not silently take over that role.
Note shop, marketplace, payment provider, bank, invoices, returns and advertising accounts. Every handover needs an owner, a cadence and an error path.
Do not test with demo data only: take a closed period with payouts, partial returns, vouchers, fees and at least one EU cross-border case.
A clean first import is not enough. Repeat the run, check for duplicates and make sure corrections are documented rather than overwritten.
