Preparing a DATEV export from Shopify: reviewing account assignment and tax keys (2026)

What DATEV needs to import shop revenue, how to settle account assignment, OSS, fees and credit notes with your accountant, and what NorthProfit can do today: review account assignment, but not yet create a DATEV file.

Updated: 7 minIron Saleh — Founder, NorthProfit

In short: for shop revenue to land cleanly in DATEV, your accounting firm needs posting records with accounts, tax keys and document references in the DATEV format. NorthProfit currently reviews account assignment and format rules for your shop data. NorthProfit does not currently create a DATEV file (posting batch); this file export is locked until receivables, payment and tax evidence are fully implemented and reviewed. The handover therefore runs through your leading accounting system or your accounting firm.

Status at NorthProfit (29 Sep 2026)

NorthProfit currently creates no DATEV file and transfers nothing directly to DATEV. Account assignment and format review as well as evidence for the discussion with your accounting firm are available. Once the file export is professionally released, we will update this article.

What DATEV needs from you

  • Posting records with a revenue account (SKR03 or SKR04) and the matching tax key
  • Correct tax treatment: domestic, EU B2C (OSS), third country, reverse charge
  • Payment fees and payouts recorded separately
  • Credit notes and cancellations as separate documents
  • Document reference such as invoice number and date for every posting
  • A format that DATEV can read; this file is currently produced by your accounting system or a DATEV interface, not by NorthProfit

Ways from Shopify to DATEV

  • An accounting program with a shop or payment connection that hands posting records over to DATEV.
  • Specialised e-commerce solutions from the DATEV marketplace that post shop and payment data, for example Pathway.
  • Preparation by your accounting firm based on shop and payment reports.

The steps with your accounting firm

  1. Connect available shop and payment sources or use an existing Shopify installation so that order, fee and payout data come together. Publication in the Shopify App Store is still pending; new merchants cannot currently install there.
  2. Agree the chart of accounts (SKR03 or SKR04), revenue accounts and tax keys per country and tax case with the firm.
  3. Check whether and from when an OSS registration applies to your setup.
  4. Review account assignment and format checks for a closed month in NorthProfit and clear deviations.
  5. Do the handover to DATEV through your leading system or the firm and reconcile it with the reviewed month.
Pitfalls

Three classics: (1) OSS revenue booked as domestic. (2) Payment fees hidden in revenue instead of separate. (3) Credit notes not as separate documents, which throws the VAT return off.

Frequently asked questions

Can NorthProfit create a DATEV file from Shopify?
Not currently. NorthProfit reviews account assignment and format rules; the file export stays locked until receivables, payment and tax evidence are fully implemented and reviewed.
Does NorthProfit transfer data directly to DATEV?
No. A direct transfer to DATEV is not implemented; among other things the DATEV approvals are missing.
Which chart of accounts is right: SKR03 or SKR04?
Your accounting firm decides. SKR03 is organised by process, SKR04 by financial statement.
