Capturing incoming receipts: email, upload & OCR
Forward supplier invoices by email or upload them, read automatically and archived with a traceable audit trail.
You manage incoming receipts (supplier invoices, purchases of goods, ancillary costs) under Expenses & fixed costs in the “Purchases and supplier receipts” area.
Way 1: by email:
There NorthProfit shows you your personal receipt email address (starting with belege+…) with a copy button. Simply forward supplier invoices to this address; they land automatically as a draft in your receipts, in the right shop. Tip: set up a forwarding rule in your mailbox, then it happens by itself. Emails with a PDF attachment work most reliably; pure link emails without an attachment cannot be processed automatically.
Way 2: upload in the app:
On the same page you upload PDFs or photos directly, several at once.
Automatic reading (OCR):
PDFs are read automatically; invoice number, amounts, taxes and supplier are pre-filled. Image receipts (photos) you check briefly by hand afterwards. Honestly: reading works best with German invoices; check the recognised values briefly before you book the receipt. Structured e-invoices (ZUGFeRD/XRechnung) are recognised and taken over directly from the XML.
Preview & audit trail:
Every receipt has a “Preview”; you see the PDF directly in the app without downloading. Archived receipts receive a traceable audit trail; under Document chain (in the Finance area) you see the complete document flow from order to reminder.
