Creating an invoice manually: mandatory details & reverse charge

Step by step to a reviewable invoice, including the €250 rule, VIES check and traceable correction.

Under Invoices you click “New invoice”. The form opens directly for a manual invoice.

The basics:

  • The customer name is mandatory, plus at least one line with description, quantity, price (net) and VAT rate.
  • The service date is optional; empty means in the NorthProfit workflow: equal to the invoice date.
  • You enter shipping and discount as separate fields; NorthProfit takes them into account in the totals shown.

Recipient details:

For higher gross amounts the invoicing workflow requires a complete recipient address. This technical mandatory-field check does not replace a professional review of all invoice requirements.

EU customers with a VAT ID (reverse charge):

An entered EU VAT ID can be checked through VIES. A valid VIES result alone does not decide the tax treatment, though; check the recipient, the service and the reverse-charge classification before finalising.

Small-business configuration:

If the small-business rule is activated in the accounting profile, NorthProfit calculates the lines according to this stored setting. The account holder remains responsible for the correctness of the configuration.

Correct instead of silently overwriting:

You can edit or delete drafts. For finalised invoices you use the credit note, cancellation or correction flows provided so that the change stays traceable. This is a GoBD-oriented review path, not a certification.

Dunning:

The invoice page has a “Dunning” tab. There you see overdue invoices and create a reminder document with optional internal notes. NorthProfit does not send reminders automatically.
